This Privacy Policy explains how Files to Notion ("we", "us", "our") handles information in connection with the Files to Notion desktop application, the website files2notion.com, and any related services (together, the "Service"). We built Files to Notion with a privacy-first approach: the contents of your files never leave your computer and are never uploaded to us or to any third-party cloud.
By using the Service, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Service.
1. Our Privacy Principles
- Your files stay local. We do not upload, copy, or store the contents of your files. Only file metadata is synchronized, and only to the Notion workspace you control.
- No third-party cloud in the middle. Synchronization happens directly between the application on your device and Notion's servers, through an integration you set up yourself.
- Your credentials stay with you. Your Notion integration secret is stored locally in the application's configuration on your device and is never transmitted to us.
- We collect as little as possible. We only process the limited data needed to operate, support, and improve the Service.
2. Information We Process
2.1 File metadata (processed locally and sent to your Notion workspace)
When you synchronize a directory, the application reads and sends the following metadata to the Notion database in your own workspace:
- File name
- File extension (e.g.,
png,mp4) - File size (in bytes)
- File type (MIME type, e.g.,
video,audio) - Media duration (for audio/video files)
- File location (absolute path, e.g.,
/Users/you/Downloads/song.mp4) - Parent directory location
This metadata is transmitted directly from your device to Notion using your own integration. We do not receive or store a copy of it, except as described in "Diagnostic logs" below.
2.2 Your Notion integration secret
The integration secret you provide is stored only in the application's local configuration on your device. It never leaves your computer and is not sent to us. You are responsible for keeping it secure.
2.3 Diagnostic logs (temporary)
To help resolve support issues, the application may temporarily log limited file metadata (such as file extension, size, or name). These logs are automatically deleted within 48 hours. We use them solely for troubleshooting and bug resolution.
2.4 Purchase information
If you buy a paid plan, payment is handled by our third-party payment processor. We do not collect or store your full payment card details. We may receive limited transaction information (such as your email address, order/license identifier, plan purchased, and country for tax purposes) to deliver your license, provide support, and process refunds.
2.5 Communications
If you contact us (for example, by email), we process the information you provide (such as your email address and message contents) to respond to and manage your request.
2.6 Website and analytics data
When you visit our website, our hosting and content-delivery providers may process standard technical information such as your IP address, browser type, and pages viewed for security, performance, and basic analytics. This data is used in aggregate and is not used to identify you personally.
3. How We Use Information
We process information to:
- provide and operate the Service, including synchronizing file metadata to your Notion workspace;
- deliver licenses and process payments and refunds for paid plans;
- provide customer support and resolve technical issues;
- maintain the security, integrity, and reliability of the Service;
- comply with legal obligations; and
- improve and develop the Service.
4. Legal Bases for Processing (EEA/UK Users)
Where the EU General Data Protection Regulation (GDPR) or UK GDPR applies, we rely on the following legal bases:
- Performance of a contract — to provide the Service and fulfil purchases.
- Legitimate interests — to secure, maintain, and improve the Service and provide support, balanced against your rights.
- Legal obligation — to comply with applicable laws (e.g., tax and accounting).
- Consent — where required, for example for optional analytics; you may withdraw consent at any time.
5. How We Share Information
We do not sell your personal information. We share information only as necessary:
- Notion. File metadata is sent to the Notion workspace you control, via your own integration. Your use of Notion is governed by Notion's own privacy policy and terms.
- Service providers. We use trusted third parties for payment processing, website hosting, content delivery, and email. They process data only as needed to provide their services to us.
- Legal reasons. We may disclose information where required by law, regulation, legal process, or to protect our rights, users, or the public.
- Business transfers. In connection with a merger, acquisition, or sale of assets, information may be transferred subject to this Privacy Policy.
6. Third-Party Services
The Service interoperates with third-party services, including Notion and, where you choose, file-storage providers such as Dropbox or Google Drive. We are not responsible for the privacy practices of those services. Please review their respective privacy policies.
7. Data Retention
- File metadata in Notion: retained in your workspace until you delete it. You control this data directly in Notion.
- Diagnostic logs: deleted automatically within 48 hours.
- Purchase records: retained as long as necessary to provide the Service, honor guarantees, and meet legal, tax, and accounting obligations.
- Support communications: retained as long as needed to handle your request and for reasonable record-keeping.
8. Data Security
We take security seriously and design the Service to minimize data exposure - most notably by keeping your files and integration secret on your own device. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. You are responsible for securing your device, your Notion workspace, and your integration credentials.
9. International Data Transfers
Where information is processed by us or our service providers in countries other than your own, we take steps to ensure an adequate level of protection consistent with applicable law, such as using providers that offer appropriate safeguards.
10. Your Rights
Depending on your location, you may have rights over your personal information, including the right to access, correct, delete, restrict, or object to processing, and the right to data portability. Note that most of your synchronized file metadata resides in your own Notion workspace, where you can view, edit, or delete it directly at any time.
11. Children's Privacy
The Service is not directed to children under 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. The "Last updated" date above indicates when the latest changes were made. Material changes will be reflected on our website. Your continued use of the Service after changes take effect constitutes acceptance of the revised Privacy Policy.
